Overview

Purpose of the job:
The Artist Management Coordinator works with the Artist Managers and Head of Artist Management to
help coordinate the scheduling and resource allocation needs for all projects. The Coordinator performs
various administrative duties to support the group, requiring a high level of attention to detail and
organization. This position will be exposed to confidential information on a regular basis, and an ability
to preserve confidentiality is an essential duty

Essential Functions/Responsibilities:
• Schedules and attends weekly staffing meetings for the Digital Studio Management team and
Producers; publishing meeting notes as needed.
• Assists in coordinating others to participate in the breakdown and staffing of VFX work
• Works with Managers to book and extend employee contracts for upcoming work
• Reviews all digital staff assignments, updates database with a high level of attention to detail, and
communicates updates to Producers and Managers
• Assists Managers in confirming end dates with Productions and communicate any changes to
artists
• Works with Managers to help resolve conflicts regarding artist scheduling and resource allocation
• Generates scheduling reports for manager and project meetings
• Knowledgeable on the skill sets of artists in assigned area; provides analysis of current and future
needs, and recommends strategies for the reconciliation of needs and available resources
• Assists in space planning and the onboarding of new artists working with both the Managers and
other Facility personnel, as required
• Provides backup to Managers for timecard approvals and vacation request processing
• Completes additional tasks as needed such as compiling information for Performance Reviews
and general coordination for the Artist Management team.
• Interfaces with other departments to ensure a high level of productivity between the teams
including technical groups, artist groups, Recruiting, HR, and Production.
• This role supports the Artist Management team in multiple locations.

Education and/or Experience Required:
• Bachelor’s degree in commerce, film, art, communications or related field
• Production experience a plus
• Experience or familiarity with Commercial and visual effects or feature animation pipelines and
production processes preferred
Skills, Abilities, Special Licenses or Certificate:
• Comprehensive knowledge of Microsoft Office applications required
• Knowledge of Google Suite required
• Experience with production tracking software a plus
• Excellent communication, interpersonal, and organizational skills
• Ability to remain detail oriented while juggling multiple tasks in a high pressure environment
• Demonstrated ability to resolve conflicts
