Overview

Responsibilities
In this fast paced role, you will be responsible for the following:

  • Work with Recruiters, Hiring Managers and Executives to schedule interviews as required.
  • Heavy scheduling of on-site and video conference interviews (both local and international candidates) using Google Calendar
  • Greet and accompany candidates during on site interviews
  • Ensure a positive interview experience for Candidates and Hiring Managers
  • Communicate interview details to candidate and provide required documentation (interview schedule, job description, detailed directions, advice on apparel, information about the logistics of the interviews, etc.)
  • Act as first and primary point of contact on day-of-interview for both the candidate and Hiring Managers
  • Create/update candidate records, track submissions and maintain our Candidate database
  • Prepare and distribute agendas and documents for Recruiting Meetings, Resume and Reel Reviews
  • Schedule travel, submit expense reports, order supplies as needed
  • Organize and attend recruiting events, job fairs/conventions as needed
  • Assist with the maintenance of department files and creation of reports
  • Handle special projects as required
  • Coordinates on-site and virtual presentations for Imageworks’ educational outreach program, IPAX

Required Skills

  • Bachelor’s degree and minimum 2 years Administrative or Coordinator experience in Human Resources, Recruiting or in Entertainment with heavy scheduling experience
  • Must be pro-active and be able to work on a team as well as independently
  • Candidates should be well-organized, self-motivated individuals who function well in a fast-paced high energy environment
  • Strong follow up skills, with attention to detail
  • Effective time management and organizational skills
  • Excellent oral/written communication, interpersonal, teamwork, and relationship-building skills with the ability to interact effectively with team members and candidates at all level
  • Ability to understand and adapt to rapidly changing priorities and to prioritize accordingly.
  • Proficiency with Google Apps (Mail, Calendar, Docs, etc.), Excel, Word, PowerPoint, Recruiting Applicant Tracking
