Summary

We are seeking an enthusiastic pro-active person to join our Production Team. The Production Coordinator must have a friendly demeanor, enjoy communicating with others, and have great organizational capabilities. In addition to working closely with the Line Producer, Production Manager and other Production Coordinators to facilitate project tasks, the Production Coordinator will also be responsible for tracking artists’ progress, ensuring the production is on schedule, provide the Production Manager with status reports, and taking departmental meeting notes.

Responsibilities

  • Keep crew members on schedule and on time by participating in rounds and consistently checking-in with the artists, leads and supervisors on a frequent basis.
  • Coordinate meetings, rounds and dailies to ensure production runs smoothly.
  • Schedule meetings in the production calendar and work with the Production Manager to communicate crew schedule changes.
  • Prepare shots, facilitate dailies meetings and follow-up afterwards internally with other departments on any task outcomes.
  • Attend internal department meetings as necessary and distribute notes to the appropriate parties.
  • Track production progress from start to completion utilizing Shotgun.
  • Work with the department lead to assign tasks to artists.
  • Upkeep tasks status and enter and maintain notes in the Shotgun database.
  • Ensure crew members are aware of daily priorities and deadlines and have all necessary information or materials to achieve deadlines.
  • Notify the Production Manager and Line Producer of any issues within the departments and help resolve issues.
  • Maintain internal communication flow with other departments by monitoring emails, responding to requests and reporting the daily progress of the artists’ work.
  • Assist in tracking deliveries to and from other departments internally or externally and ensure all materials are distributed correctly.
  • Forecast ahead of production schedule to identify potential delays or bottlenecks from other departments, plan and problem solve with Production Manager accordingly and communicate to all other coordinators whose departments are involved or effected.
  • Regularly gauge workload of artists in your department to maintain a steady feed of work, adhering to other departments start dates and deadlines.
  • Follow-up and complete tasks assigned by the Production Manager and/or Producer.
  • Cover fellow Production Assistants and/or Coordinators where necessary in their respective duties.
  • Prepare for daily tasks proactively.
  • Research and gather materials as necessary for production.

 

Requirements

  • 2+ years of experience as a Production Coordinator.
  • Working knowledge of Shotgun a necessity.
  • Experience in 3D animation or the VFX industry.
  • Positive attitude at all times.
  • Proactive, highly organized and follows up consistently.
  • Proven ability to multi-task.
  • Excellent communicator and team player.
  • Self-aware, learns and grows from performance feedback.
