Overview

We are seeking a FOH Assistant to support our Vancouver studio! The FOH Assistant will work closely and cooperatively with other members of the Front of House team to ensure the studio runs smoothly, efficiently, and to Company standards.

What you’ll get to do:

  • Act as first point of contact for the Vancouver studio:
    • Meet and greet clients/visitors/guests in a professional, courteous and friendly manner at all times
    • Operate telephone switchboard in an efficient, professional and timely manner ensuring any relevant information is passed on to staff
  • Ensure the FOH area, client suites and meeting rooms are neat, presentable, and stocked throughout the day
  • Maintain cleanliness of the studio throughout the day, particularly the staff kitchen and its equipment and kitchenware
  • Conduct stocktake and replenish inventory of food and non-food items
  • Update and maintain documentation and a web-based notice board (staff portal)
  • Manage incoming and outgoing mails as well as couriers in a timely manner
  • Communicate information as required to all staff and provide tour of facility to all new employees
  • Liaise with the general contractors for small jobs
  • Work with vendors to place, receive, and reconcile orders
  • Provide assistance with the organization, communication, set-up, and clean-up of Company and staff events
  • Liaise with relevant departments & Manager to maintain an awareness of staff movements including events & meetings
  • Set up and place catering requests as required, including overtime meals
  • Book travel and provide support to travelling executives between our studios as directed
  • Respond to facilities/general building help desk requests as directed
  • Respond to adhoc cleaning requests as directed
  • Assist Management with administrative support as required

What you bring:

  • Experience as a receptionist and/or office assistant, or in a similar customer-facing role would be an asset
  • Intermediate level experience with Microsoft Office
  • Good verbal and written communication skills
  • Strong organizational and interpersonal skills with a proactive, adaptable, and customer focused approach
  • Ability to maintain professionalism both in person and on the telephone
  • Ability to work well under pressure and to tight deadlines
  • Ability to lift at minimum 25lbs
  • Ability to work autonomously and/or collaboratively on projects
  • Ability to apply sound judgement and be results oriented
  • Valid driver’s license is not essential, but is considered an asset
